Completing Bin Checks
Before commencing the bin check, ensure that all registration cards have been updated in iHMS and placed in the designated bin.
Ideally, initiate the bin check once the number of arriving guests reaches 20 or fewer.
Procedure
- Sort Registration Cards: Arrange the updated registration cards in numerical order based on room numbers.
- Generate In-House Guest List: Print the In-House Guest Listing report (Reports → In-House → In-House Guest Listing) and sort by room number.
Print only the pages containing room numbers, starting from the first occurrence to the last.
This list shows both current in-house guests and arrivals who have checked in today.
As you can see in the below image, the first instance of a room number is on page 3 of the document, meaning you would print this document starting from page 3.
- Cross-Reference: Systematically compare the room numbers on the printed list with the registration cards in the bin.
- Verification:
- Confirm that the name on each registration card matches the corresponding entry on the report.
- Ensure each card is placed in its correct slot within the bin.
- Once verified, highlight the room number on the report to indicate completion.
- Identify Missing or Incomplete Cards: Make a note of any room numbers where the registration card is missing or incomplete.
- Locate Missing Cards:
- B2B: Check the pile of departing guest registration cards.
- Room Move: Verify if the card is still filed under the previous room number.
- Arrival: Check if the card is still in the arrival box and incomplete. If so, attempt to contact the guest by phone or send a letter to their room.
- Updating Pile: Review any cards that need to be updated.
- Additional Locations: Inspect the back bench and all pigeonholes.
- Escalate Unresolved Issues: If a registration card cannot be located, inform the Duty Manager and confirm whether to contact the guest or send a letter to their room.
- Completion: Once the bin check is finalised, place the report next to the bin for collection by the Night Audit team.
