Logging Maintenance Jobs in MaintainX

Below outlines the process for logging maintenance jobs using the Maintain X application.

Responsibile Parties:

• Reception, Duty Manager, and Front Office Manager (FOM): Responsible for logging maintenance jobs using the X app. Ensure accurate descriptions, location details, and assignment of maintenance tasks.
• Maintenance Staff: Responsible for receiving and addressing maintenance jobs assigned through the X app. Ensure timely completion of assigned tasks and update job status within the app.

Procedure:

Logging a Maintenance Job

1. Open the MaintainX app.

2. Click on the "+ New Request" option.

3. Select "Create Request" in the pop up window.

Provide the following details:

1. Title ("What needs to be done?"): Give a brief description of what needs to be fixed and where.
2. Upload pictures: Capture and attach images of the issue to provide visual context.
3. Description of the issue: Clearly describe the maintenance problem, including any relevant details or observations.
4. Priority: Assign a priority level to the maintenance task based on its urgency.
5. Location: Specify the exact location of the maintenance issue within the hotel.
6. Room Number (if required): If the issue is located within a specific room, assign the correct room number.

Once all details have been entered, click "Create" in the top right-hand corner to submit the job to the maintenance team.

Assigning the Maintenance Job

• All maintenance jobs will be automatically assigned to the maintenance department.
• Reception, Duty Manager, or FOM should not assign specific tasks to individual maintenance staff members. The maintenance department will allocate resources accordingly.

Tracking Maintenance Jobs

The maintenance team will provide updates as needed by doing the following:

• Regularly monitoring the status of maintenance jobs within the MaintainX app.
• Updating the job status as appropriate (e.g., in progress, completed, pending).
• Communicating any delays or issues with job resolution to relevant stakeholders.

Completing Maintenance Jobs

• Upon completion of a maintenance task, the assigned maintenance staff member must update the job status within the MaintainX app.
• Relevant comments or additional information regarding the resolution of the issue will be provided if necessary.
• If further action is required, communicate the necessary steps to the relevant personnel.
