Room Moves
Occasionally, a guest may request - or even require - a Room Move. This could be due to wanting a larger space, or because there is some kind of fault within the room.
Procedure
When room moving, advise the guest of the following:
- If they are going out for the day of the room move, they need to pack all their belongings and bring them to reception ready to be moved to the new room.
- Before they leave the hotel, they should drop by the reception area and hand in their old key.
- Inform them that their new keys will be ready at the reception when they return.
If a room move has already been scheduled, prioritise preparing the new room as soon as possible.
- To check if the room move is scheduled, in iHMS select: Reports → Housekeeping → Live Scheduled Room Change
When the new room is ready:
- Update the room change in iHMS by searching the guest name/room number, right-clicking, and choosing Confirm Change Room.
- Cut new keys and leave them in the arrival key box for collection.
- Update the guest’s registration card with the new room number and file it in the new room's registration card bin.
Scheduling a Room Move
For room moves happening later in the day, or another day altogether, do the following:
- Go to the Room tab in the required folio.
- Find the charge date you want the room move to take place and click into the Room field. This will bring up the rooming list.
- Choose the new room and click OK.
- Choose the reason best suited for the move, and add in a remark.
This guest will be scheduled to move to the new room on the specified date.
Same Day Room Move
- Go to the guest’s folio that requires a room move.
- Select the magnifying glass icon next to "Assigned Room".
- Choose the new room and click OK.
Live Scheduled Room Change Report
To check if any room moves have already been scheduled, in iHMS select:
- Reports → Housekeeping → Live Scheduled Room Change
