Ensure All Guests Due to Depart Have Checked Out

At approximately 11:15 AM, generate the Expected Departure Summary Report (Reports → Departures → Expected Departure Summary) to identify rooms scheduled for departure today.

  • For guests with approved late checkouts, note the requested departure time next to their room number on the report.
Follow-up on Unchecked Rooms

For any rooms still marked as occupied past the standard checkout time:

  1. Verify Non-B2B Status:

    • In iHMS, set the date range from today to tomorrow.
    • Clear the search box and execute the search.
    • Sort the results by guest name and manually review each entry.
    • Pay close attention to "sharing guest" names, as some guests may use these for secondary bookings.
  2. Confirm Absence of Late Checkout Requests:

    • Manually access the folio for each occupied room.
    • Review both the "Remarks" section and "Checkout Instructions" for any recorded late checkout requests.
  3. Contact Guests:

    • Call guests in rooms due to depart that have passed verification steps 1 and 2.
    • Inquire about their anticipated departure time, given that it is past the standard checkout time.
    • If a late checkout is requested, note this on your list and inform both the Duty Manager and Housekeeping.
Unreachable Guests
  • If a guest cannot be reached, liaise with Housekeeping and request they conduct a bag check to confirm whether or not the guest has already departed.
